Notion vs ClickUp vs Google Workspace vs Todoist

Independently tested by PERYXA • September 2026

We tested four popular productivity tools on mobile using real PERYXA tasks. Here’s how they compared for ease of use, task management, document organization, AI assistance, reminders, free-plan value, and price.

How We Tested

1. Notion Workspace Test — Created and completed a dated task with details and a reminder, built a content page, and tested Notion AI.

2. ClickUp project Test — Created a task with a due time, reminder, priority, assignee, subtask, checklist, status, and time estimate; then tested Docs and ClickUp Brain.

3. Google Workspace Test — Created a timed task with a reminder, priority star, and subtask; created a Google Doc and tested Gemini with the same comparison prompt.

4. Todoist task Test — Used Ramble to create a timed Priority 1 task with a reminder, then added a description and subtask, completed it, and created a PERYXA project.

5. AI & Price Test — Used the same four-step prompt with Notion AI, ClickUp Brain, and Gemini; evaluated Todoist Ramble separately and verified official plan limits and pricing.

Testing note: Notion, ClickUp, Google tools, and Todoist were tested on an iPhone in September 2026 using free plans and available AI trials. Google testing used the free consumer versions of Tasks, Docs, and Gemini. Reminder notifications were verified in real time. Features and prices may vary by plan, billing cycle, and region.

Because these tools combine task management, documents, collaboration, and AI in different ways, we tested each one through a real mobile workflow. We then evaluated them for ease of use, task organization, document tools, AI assistance, reminders, free-plan value, and price.

Results at a Glance

#1- Google Workspace 9.2/10 • Best Overall for PERYXA

Google Tasks was the easiest task app tested, reminders worked automatically, Docs saved smoothly, and Gemini delivered the strongest AI response.

Main trade-off: Work is divided across separate apps, and business email and admin features require a paid Workspace plan.

#2- Notion 8.8/10 • Best All-in-one Workspace

Combined tasks, documents, databases, reminders, and AI in one flexible workspace. It offers the strongest foundation for building a complete business hub.

Main trade-off: Mobile editing has a learning curve, and simple actions can require extra steps or feel unclear.

#3- Todoist 8.7/10 • Best for Simple Task Management

Made priorities, reminders, descriptions, subtasks, and projects easy to manage. Ramble quickly turned spoken instructions into an organized task.

Main trade-off: It lacks built-in documents and a general AI chatbot, and Ramble needed one title correction.

#4- ClickUp 8.5/10 • Best for Advanced Project Management

Offered the strongest task controls, including priorities, assignees, statuses, checklists, time estimates, documents, and capable AI assistance.

Main trade-off: The mobile interface felt busy, reminders required separate setup, and navigation was the most confusing tested.
